The Close Button

When work is completed or a material is purchased, and the item has been fully completed or no longer requires any further action, make sure to click Close (1) for that item.

The Close button is important because:

a) Smetter notifies the manager that the item has been closed;

b) the system recognizes that no further work or purchasing is required for the item and includes this in its calculations.

Set Actuals to Budget for an individual item
Set Actuals to Budget for the entire stage
Example: You planned to purchase 10 cans of paint at $5 each. The buyer purchased 8 cans. Smetter calculates that 2 more cans still need to be purchased at $5 each, meaning that another $10 is expected to be spent on paint.
However, the 8 cans turned out to be sufficient.
To remove the remaining 2 cans from the purchasing plan, click Close. This tells the manager, the buyer, and Smetter that no additional paint is required.

Smetter will then update its calculations. The manager will see the savings on paint and will know that no additional $10 needs to be allocated. The paint item will also be removed from the buyer’s purchasing plan.

The same principle applies to work items.

If work or materials are completed or delivered in line with the budget, use the Set Actuals to Budget option:
  • click Set Actuals to Budget for an individual item (2) to populate its actual quantity and cost using the budgeted values;
  • click Set Actuals to Budget for the entire stage (3) to populate all items that do not yet have actual purchasing data using their budgeted quantities and costs.

Result: Expenses are recorded accurately, and future costs are forecast more reliably.
