Tracking Purchases with Receipts

During construction, Subcontractors or employees may need to purchase materials at short notice and then submit receipts for those purchases.

Smetter lets you record receipt data and link purchases to planned costs, reducing the amount of manual work required to track these expenses.

Enter the receipt details in the mobile app to record the purchase.
Click to immediately include all Unassigned receipts in the Client statement.
  • To add a receipt, enter its details manually in the mobile app and specify which Work Package it belongs to and who made the purchase (1). If several items on a receipt belong to the same Work Package and product group, for example, lumber, you can enter them together. If the items belong to different Work Packages or product groups, it is better to record them separately as individual receipts.
  • If the purchase was paid for by a Subcontractor, the receipt amount will be included in settlements with that Subcontractor. You can view the Subcontractor’s receipts on the Works tab. The receipts and purchased items will also be included in the Subcontractor Progress Payment Summary;
  • If an employee with a Petty Cash account submits the receipt, the expense will be recorded against that employee’s Petty Cash activity;

Working with Receipts

Receipts are not included in expenses until they are assigned to planned costs or the “Include unassigned receipts in the statement of work value” setting is enabled;

  • All receipts for a Work Package are available on the Purchasing tab. Open the right-hand panel by clicking “Receipts”. To add purchased items to Purchasing, drag an item or the entire receipt to the corresponding row in the table. If the item is not included in the Work Package, drag the receipt or item to the “Over budget” section. Smetter will create a new item automatically, and the receipt amount or selected items will then be included in expenses;
  • You can also include Unassigned receipts in the Client statement without assigning them to rows in the Purchasing table. Enable the setting (2). Once enabled, Unassigned receipts for the Work Package will be included in expenses and shown to the Client in the receipt report. The total receipt amount is reflected in the Quote, while printed statements include a separate detailed breakdown of all receipt items.

Result: Receipt-based expense reporting takes less time and requires less manual work.
