Deals and Sales Pipeline in CRM

The “Deals” section contains your company’s active sales pipeline.
Each deal represents a potential Client project and moves through the stages of your sales process—from the initial inquiry to estimating, agreeing on terms, and starting work. As you communicate with the Client, move the deal from one stage to the next. If a sale is paused, won, or lost, move the deal to the corresponding CRM section.

This guide explains how to create a deal, work with pipeline stages, and customize your sales pipeline.

Working with Deals and Pipeline Stages

The “Deals” section in Smetter CRM contains your active sales pipelines.

New deals can be created using the “Add deal” button (1). Once created, a deal automatically appears in the first column, “Leads”. Each pipeline column represents a stage in your sales process (2). As your work with the Client progresses, simply drag the deal from one stage to another.

Create a custom stage (column) using the “+” button (3) on the right side of the screen. You can customize the columns to match your company’s sales process.

If a deal temporarily or permanently leaves the active sales pipeline, move it to “Follow-up” (4), “Won” (5) or “Lost” (6).

The first stage, “Leads”, is system-defined: it cannot be renamed, deleted, or moved. All other stages can be customized.

Working with Deals by CRM Stage

Move a deal to the next stage once the action associated with its current stage has been completed (1).
You can reorder cards within a stage. For example, move deals that need immediate attention to the top.

For example:
New inquiry received → Leads
Contacted the Client and confirmed their needs → Qualification
Prepared the estimate → Estimate Preparation
Sent the proposal → Proposal Sent
Drag the deal to the appropriate stage

Configuring Pipeline Stages in CRM

Add a new stage using the “+” button (1) on the right side of the screen, after the last column.
Enter a stage name (2) and choose a color (3). If you leave the name blank, the stage will be created as “New stage”.
Choose a color
Enter a name
Add the stage
Click the three-dot menu at the top of a stage to open its settings (1). You can rename the stage, change its color, or delete it.
You can drag stages to reorder them in the pipeline.
If the delete option is unavailable, check whether the stage still contains deals. Move them to another stage before deleting it.
Configure the stage

If a deal leaves the active pipeline

If negotiations with the Client are temporarily paused, move the deal to “Follow-up”. You will be asked to set the next contact date so you know when to follow up.
If the deal moves from negotiations into the construction phase, move it to “Won”.
If the sale does not go ahead, move the deal to “Lost”. You will be asked to specify a lost reason.

For more information about working with these sections, see “Follow-up, Won, and Lost Deals”.
